The Z Cares App – Compliance and service management for care providers

The Z Cares App has been developed by a former care worker, manager and inspector to be a straightforward but powerful solution to the increasing demands on care providers, managers and staff. It’s the tools I always wished I had!

A suite of management and compliance tools are now available at a special early bird price until the end of the year. The care management side, including assessments, scheduling and monitoring, will follow by January 2026.

There are four tiers of Z Cares App access.

  • Solo: NOW AVAILABLE!! access the Zapp! as a solo provider-manager (just £100/month for early subscribers or annual for £1000), including a special three month deal for registering providers with an application read-over)
  • Team: (coming end September 2025) access the Zapp! as a management team (fixed monthly price or annual deal)
  • Zone: (coming end September 2025) access the Zapp! as a chain or multi-location provider (variable price depending on requirements)
  • Code: NOW AVAILABLE!! license the code and develop your own in-house app from it (variable price depending on requirements)

The Zapp is accessible via manager, staff and client portals. Your initial commitment is for three months if paying monthly or you can choose an annual deal – no oppressive contracts!

Managers

The powerful management portal brings a range of together a range of tools which the solo provider especially will find incredibly useful to have in the one place.

The Z Cares App includes all modules by default for the inclusive monthly fee. If you don’t need any particular modules, we can disable them for your login, so you only see the modules you are using. You can enable more modules at any time.

  • ✉️ Messaging: send urgent and routine messages to staff, receive messages and replies.
  • 📝 Policy Manager: generate customised policies and edit them as required, finalising them with a signature. Manage them in the Zapp, with version tracking and archiving, or download them as Word documents – individually, some or all as needed. Zapp them to staff and track their reading and acknowledgement.
  • 📚 Document Manager: share other documents with staff, track their reading and acknowledgement.
  • 🧠 Training Matrix: at-a-glance tracking of training, with customisable training programs for different roles.
  • 👥 Recruitment: generate customised adverts, job descriptions, person specifications and application forms completable online. Manage applicant journeys, including a tool for requesting verifiable references via a quick online form to encourage a speedy response. Interview calendar.
  • 👤 Supervision and appraisal: record, track and manage this key aspect of care service management.
  • 📋 Service audit and improvement: use the audit tool to check your service against the CQC’s single assessment framework. Create and track actions from the audit and other sources into a master service improvement plan.
  • ⚓️ Registration tracker and tools: manage and track your progress in completing the registration process. Use tools such as the Statement of Purpose creator.
  • 🏛️ Local Authority Directory: See information about each LA, and how they manage and commission care. Customise the contacts you use, making this information available to your policy generator.
  • 🧁 Z Cares Family: clients of my consultancy services can schedule their monthly calls, manage their directory listing, access a forum, their mock inspection reports and premium content plus other exclusive features.
  • 👑 Z Mode: if you’re a chain or multi-location provider, access the higher tier of controls enabling you to set up each location with its own Zapp, and if you prefer cascade your own policies, documents and other templates.

Client and staff portals

  • Client – the people you support will be able to login to their own portal, where they can see their calendar, receive messages from the manager, see their allocated staff profiles and read service policies and other key documents.
  • Staff – staff can see their calendar, message with the manager, read and acknowledge policies and other documents which are kept in a library for them to read at any time, see the profiles of the people they support and keep an eye on their training, supervision and appraisal records. New applicants can message, manage their application, track its progress and read key documents.

Note * VAT is not currently applicable, however will be from April 2026. Other than that, no increase in cost for early birds.
